📧 Technical Email – To Line Manager FROM: Ahmed Mohammed – IT Support Technician TO: Line Manager SUBJECT: Summary of Interview with IT Manager – VPN and Server Issues Dear Line Manager, I hope you're well. I recently conducted an interview with the IT Manager to investigate the connectivity and performance issues affecting our remote teams and internal systems. Below is a summary of the key topics discussed and the findings uncovered. 🔍 VPN Access and Remote Connectivity Issue Identified: User A, a remote team leader, is unable to access the company network via VPN when all drone display teams are deployed. Findings: The VPN system currently supports only 12 active connections. There are 15 drone display teams, meaning the system is regularly over capacity. A shared administrator login is enabled, and encryption is not enforced. Multiple non-corporate devices (e.g., “Becky’s iPhone”) are connected using the shared admin account. Several “Unknown” devices are connected without authentication. Risks: Operational Inefficiency: Remote teams are unable to download display updates, causing delays. Security Vulnerability: Password sharing and lack of encryption increase the risk of unauthorised access. Data Exposure: Unauthenticated devices pose a threat to sensitive company data. Recommendations: Increase VPN licenses to accommodate all remote teams. Disable shared admin login and enforce encryption and authentication. Upgrade to a modern VPN solution with multi-factor authentication and device-level access control. Implement staff training on secure VPN usage and password handling. 🖥️ Server and Network Infrastructure Issue Identified: User C, an HR assistant, reports that the file and print server becomes unavailable during restarts or when many staff are in the office. Findings: The server runs on Windows Server 2008, which is outdated and unsupported. The network uses a domestic-grade ISP router that cannot handle peak traffic. The network has grown without proper planning or scalability. Risks: Downtime: Staff cannot access critical resources during peak hours or after restarts. Security: Unsupported OS lacks security patches, increasing vulnerability. Data Integrity: Risk of file corruption and data loss due to instability. Recommendations: Replace the domestic router with a business-grade model. Upgrade the server to Windows Server 2022. Conduct a full network review and implement a scalable architecture. Create a restart checklist to ensure critical services are restored after outages. Please let me know if you’d like support with implementation planning or staff training materials. Kind regards, Ahmed Mohammed
